Beyond the tired "WMS vs ERP vs spreadsheet" debate: which companies actually move to real-time stock tracking, why 20% overstock so often sits next to 20% stockouts, and how we tied stock to the sales cycle in Orizen so it becomes a natural dimension rather than a separate module.

I Who it is for

Stock tracking for companies who want to steer, not for industrial groups who spend six months configuring.

Inventory management usually comes in two opposite shapes: the WMS grand design, very powerful and out of budget, or the spreadsheet craft, free and unmanageable. Orizen aims at a pragmatic middle. Four profiles keep coming back to us.

Online retailer, B2C or B2B

You sell on your WooCommerce or Shopify site, sometimes on marketplaces too. Overselling costs you in support time and in reputation.

One unified stock, decremented in real time on every order, synced with your shop. No more overselling, no more "sorry, we are out of stock".

Distributor or wholesaler

You handle hundreds or thousands of items. Today that means an expensive, complicated ERP, or a homemade system that regularly goes off the rails.

Multiple warehouses, weighted average valuation, configurable reorder alerts. Steering becomes readable without a six-figure IT project.

Tradesperson working with raw materials

You start a job or an order and find mid-way that a material is missing. Back to the supplier, delay, extra cost.

Consumables and materials tracked, alerts before the stockout, a direct link to your purchase orders. No more "we are out" halfway through a job.

Service business with technical consumables

Supplies, parts, accessories: you get through them steadily, with no clear view of what is left to buy.

A central consumables catalogue, movements traced per job or site, reorder suggestions. Operating costs become visible and foreseeable.

II Stock, connected

A quote reserves, an invoice deducts, a receipt adds.

The visual detail below: the real day-to-day stock problems, what Orizen handles for you, and how the commercial flow, from order to decrement to alert to reorder, runs without anyone touching it.

Your day-to-day stock problems

Every day lost hunting for stock information is revenue walking out of the door.

Unexpected stockouts

A customer orders and you are the last to find out you are out of stock. Delivery delayed, customer unhappy, reputation dented.

Costly overstock

Capital tied up, products ageing, space taken for nothing. Overstock weighs on your cash flow.

Tedious manual stocktakes

Counting by hand, spreadsheets that disagree with reality, hours lost reconciling the figures.

No real-time visibility

You do not know what is in stock right now. You work from yesterday's data, or the day before's.

What Orizen handles for you

A stock module wired into your sales cycle, with nothing entered twice and nothing to sync by hand.

Real-time movements

Every receipt and every issue is recorded straight away. Your stock level is always current, with nothing for you to do.

Reorder alerts

Set a threshold per item. Orizen alerts you as soon as you approach a stockout, while there is still time.

Tied to your orders and quotes

An approved order updates the stock automatically. Nothing to retype, nothing forgotten.

Movement history

See every receipt and issue for each item: date, quantity, origin, who did it.

Stock valuation

Know the total value of your stock at any moment. Essential for your accounts and for your buying decisions.

Wired into your sales activity

As your sales cycle moves, your stock follows automatically. Nothing to do by hand.

III How it goes

From a rough spreadsheet to reliable stock in real time.

Three clear milestones: the catalogue loaded on day 1, the daily flow automated in week 1, and valuation plus audit by month 1.

Day 1 · Catalogue imported

Your items are loaded with their opening stock.

  • Product items imported from CSV or Excel
  • Opening stock entered, or imported from your current tool
  • Alert thresholds set by default on your top 20% sellers
Week 1 · The daily flow

Every order updates the stock.

  • Stock decremented on every invoice issued
  • Stock increased on every supplier receipt
  • A guided video call with a human from Orizen included
Month 1 · Valuation and audit

You know what you hold and what it is worth.

  • Total and per-item valuation, weighted average by default
  • First rolling stocktake: a twelfth of the items counted
  • Discrepancies identified and corrected, with the history traced
IV Frequently asked questions

The answers to the questions we get asked most.

What do you actually need to track in your stock?

Three levels, depending on your trade. For simple distribution: the available level, reorder alerts and total valuation. For distribution with seasonality: add reorder forecasts based on history. For manufacturing or food: add batches, serial numbers, expiry dates and downstream traceability from the stock movement to the end customer. Orizen covers all three depending on the modules you switch on.

What is the difference between weighted average, FIFO and LIFO?

Three ways of valuing stock. Weighted average recalculates the unit value on every receipt: simple, and accepted by the tax authorities across the European Union. FIFO, first in first out, values what leaves at the price of the oldest receipts: suited to perishable goods. LIFO, last in first out, is not accepted for tax purposes in France and in most European jurisdictions. Orizen uses weighted average by default and offers FIFO as an option.

How do I avoid stockouts without overstocking?

The classic equation: your turnover rate times your lead time equals your minimum stock. Orizen works those thresholds out per item, from your sales over the last 90 days and the supplier lead times you have entered. An alert fires as soon as a product nears its critical level, so you reorder before the stockout without watching every item by hand.

How much does inventory management software cost?

Dedicated tools run between €20 and €100 per user per month. Orizen folds inventory into the full sales cycle, so there is no extra cost for users who already have the sales module. Particularly worth looking at if you currently pay for a dedicated tool on top of your CRM and invoicing.

How do I run an annual stocktake without stopping the business?

Orizen offers two modes. A full stocktake: a counting sheet generated per zone, entries made as you go on a phone or tablet, and discrepancies calculated automatically for you to approve. Or a rolling stocktake: count a twelfth of your items each month, or more if your turnover is high, so you never stop the business and still keep the stock reliable.

Does Orizen inventory connect to my online shop (WooCommerce, Shopify)?

Yes, through native connectors or middleware. When an order comes in on your online shop, the Orizen stock drops in real time. When supplier stock arrives, your online availability is updated. No more overselling and no more unhappy customers finding out after ordering that an item is out of stock.

V What we believe

Stock is the number one enemy of cash flow.

Every product sitting in your warehouse is money asleep. Too much stock is cash frozen. Too little is sales lost, and disappointed customers who may not come back.

And yet most small companies run their stock by eye, or from a spreadsheet updated whenever someone remembers. The result: 20% of items are overstocked, 20% are regularly out, and nobody knows exactly which.

We have seen too many teams buy an oversized WMS and end up using 10% of it, because the initial setup demanded a six-figure project and three months of consultancy.

So we folded inventory into the sales cycle in Orizen. Not as a separate module but as a natural dimension: a quote reserves, an invoice deducts, a receipt adds. At any moment you know what you hold, what is coming in and what is going out.
