Beyond the technical debate about eIDAS and timestamping: which teams actually move to electronic signature day to day, what it changes in their sales cycle, and why we built it into Orizen with no cost per send, because charging for a digital stamp had come to strike us as absurd.
IWho it is for
An electronic signature built for the people who sign every day, not for the lawyers who configure it once a year.
The electronic signature is meant to solve a simple problem: getting a document signed, quickly, anywhere, with legal standing. In practice, many tools add friction (an account to create, a separate subscription, a cost per send) that pushes people back to paper for the small jobs. Four profiles keep coming back to us.
Owner who signs contracts and quotes every day
You print, sign, scan and send. Or worse, you attach a PDF and wait for it to come back. Each cycle takes days, sometimes weeks.
Online signature straight from the customer record, eIDAS standing, instant return. Your sales cycles get noticeably shorter.
Remote or travelling sales rep
You close a deal on the phone and want to sign right there, but your customer is on the move, with no scanner and no printer.
Send the signature by email during the call, your customer signs on their phone in 30 seconds, and you have the signed contract before you hang up.
Agency or firm that negotiates with several parties
Your contracts have 3 or 4 signers: the customer, your director, sometimes a partner. Coordinating the signatures by email takes days.
Multi-party signing with a configurable order, automatic reminders, and a final document carrying every timestamped signature.
Tradesperson, construction, on-site work
You get a quote or an acceptance certificate signed on the spot. Today that means paper that goes missing, or a photo of a signature that carries no weight.
Signing on the customer's tablet or phone in face-to-face mode, timestamped and archived with the quote. A clean record, in seconds.
IIThe paperless cycle
Print, scan, send back. There is far better.
The visual detail below: the friction still slowing your signatures down, the 3 Orizen steps, the use cases (quote, contract, purchase order, amendment), and the eIDAS compliance that holds up in court.
What you still do today
Print, scan, send back. There is better.
Days lost waiting for a signature
You email the quote. The customer prints it, signs it, scans it or photographs it. They send it back. Or they do not. Meanwhile the project has not started.
Documents scattered, versions multiplied
Contract_v2_FINAL_signed_2.pdf in the downloads folder. Contract_signed_client.jpg in the messages. No quick way to tell which document is the one that counts.
Uncertain legal standing
A scan of a handwritten signature has questionable legal standing. In a dispute, the proof is hard to produce. An eIDAS certified electronic signature, on the other hand, cannot be argued with.
As simple as sending a text
3 steps. From creation to archive.
1
You create and send
From your quote, contract or purchase order in Orizen, click "Send for signature". Add the signers. The link goes out in 10 seconds.
2
Your customer signs
They get a link by email or text. They read the document and sign with a finger or a mouse. No account to create, no software to install. 30 seconds.
3
Orizen archives and updates
The signed document is archived with timestamp evidence on the customer record. The status of the quote or contract switches to "Signed" in Orizen on its own.
What you can sign
Every one of your sales documents. One click, from inside Orizen.
Quotes
Your quote is created in Orizen. One click sends it for signature. The moment it is signed, the sales cycle moves to "Won" and the project can start.
Quote signed → sales cycle "Won" + project created automatically
Contracts
Services contracts, terms and conditions, NDAs, maintenance agreements. Every signed contract is archived on the customer record with certified evidential value.
Contract signed → archived on the Orizen customer record + team notified
Purchase orders
Approve every purchase order with an electronic signature. No more verbal orders, no more arguments about "I never approved that".
Purchase order signed → order confirmed + deposit invoice available
Amendments & changes
Scope changes mid-project? An electronically signed amendment protects both sides and keeps the record in the Orizen project file.
Amendment signed → project updated + full history kept
Legal standing
A signature that holds up in court.
The electronic signature built into Orizen follows the European eIDAS regulation, the same standard used by banks, notaries and public administrations.
eIDAS compliant : legally recognised across the European Union
Certified timestamping : the date and time of signing cannot be argued with
Signer authentication : email plus an SMS one-time code for every signature
Full audit trail : IP, device, timestamp, explicit consent
Evidential archiving : the document cannot be altered once signed
Hosted in France : data stored on OVH, never transferred outside the European Union
eIDAS
The European regulation on trust services. The Orizen electronic signature is an advanced electronic signature.
Strong authentication
A one-time code by SMS or email for every signer. Identity is checked before each signature.
End-to-end encryption
Documents encrypted in transit and at rest. Access limited to the authorised signers.
10-year retention
Signed documents are kept in line with French legal obligations: 10 years for commercial contracts.
Built into Orizen
The signature is not a module off on its own. It links up with everything else.
No need for an external tool like DocuSign or Yousign on a separate subscription. The signature sits in the same flow as your quote, your project and your invoicing.
Orizen quotes
Sent for signature in one click
A signed quote automatically triggers the project creation and the deposit invoice.
Orizen contracts
Multiple signers, in order
Set the signing order: you first, then your customer. Each step notifies the next signer on its own.
Purchase order
Signature plus delivery note
The signed purchase order binds the items, the prices and the deadlines. Everything is traced for invoicing and delivery.
IIIHow it goes
First electronic signature sent within 30 minutes of signing up.
Three clear milestones: a first signed quote on day 1, a templates and multi-signer routine in week 1, and a fully paperless cycle by month 1.
Day 1 · First signature
A quote signed electronically before the afternoon is out.
Account created in two minutes
First quote created or imported
Sent for OTP signature, signed and back from the customer within minutes
Does an electronic signature carry the same weight as a handwritten one?
Yes. Across the European Union, an electronic signature compliant with the eIDAS regulation carries the same legal weight as a handwritten one. Orizen provides an advanced signature, with OTP authentication by SMS or email, which covers the vast majority of commercial cases: quotes, sales contracts, purchase orders, terms and conditions. For deeds that require a qualified signature, a notarial act for instance, a dedicated option is available.
How much does the electronic signature cost with Orizen?
The electronic signature is built into Orizen and is NOT billed per signature, unlike many tools on the market that charge €1 to €3 per send. Send as many as you like, it is included in your subscription.
How do I send a quote to a customer for signature?
From the Orizen customer record, or from the quote itself, you click "Send for signature". The recipient gets an email with a secure link, opens the document, confirms their identity with an OTP code by SMS, and signs with a click. The signed document and the signature certificate land automatically on the customer record.
Can several people sign the same document?
Yes. You set the signing order, your customer first and then your director for instance, each signer receives their link in turn, and the final document carries every signature with its timestamp. Particularly useful for two or three party contracts.
What happens if my customer does not sign straight away?
Orizen sends a reminder automatically on day 3 and again on day 7, both configurable. The customer record shows you whether the quote was opened, by whom, at what time and how many times, which tells you when a phone call will land well.
How do I prove a signature is valid if there is a dispute?
For every signature, Orizen produces a timestamped signature certificate holding the signer's identity, their IP address, the authentication used (OTP by SMS or email) and the exact date. That certificate is archived automatically alongside the signed document and stands as admissible evidence in court.
Customer feedback
What it changes in day-to-day selling.
VWhat we believe
An electronic signature that is not counted one by one.
We have seen too many small companies hesitate to send a quote for signature because the price per send, €1, €2, €3, became a deterrent on the small jobs.
We have seen too many sales cycles slowed by a PDF printed, signed, scanned and sent back, when online signing has existed for fifteen years.
We have seen too many sales teams treat each send as a digital stamp to be counted, and end up not asking for a signature at all so as not to "use up a credit".
So we built the electronic signature into Orizen with no cost per send. You use it for your €200 quotes just as you do for your €200,000 contracts. The legal standing is identical, and the financial brake disappears. Signing becomes an everyday tool again, not an exception kept for the big deals.
